Cancellation Policy

Last Updated: September 2024

Life happens and plans change.

We understand that and have created a refund/cancellation policy to help protect the host in the event that a host needs to alter or cancel the reservation altogether. When hosts cancel Bookings, ShotClock’s ability to re-book that date and time becomes increasingly difficult, as other potential hosts may have already made other plans. Nonetheless, plans may change, requiring hosts or ShotClock to cancel bookings on occasion.

This Shotclock Studios Cancellation and Refund Policy ("Policy") covers all cancellations or refunds for fees paid to Shotclock Studios LLC. Both hosts and ShotClock agree that they are subject to and will comply with the terms, conditions, and procedures of this policy when cancelling a booking. If you have any questions about this policy, please contact us. You must agree to this policy to use the Services and the platform.

Please read this Policy carefully.

You may not use the platform or services if you do not agree to this policy. We reserve the right to amend this policy for any reason and at any time by posting an updated version to our website.

Non-Refundable Deposit

The host will have the option to reserve dates outside of 90 days with a 50% non-refundable deposit of their total balance; The remaining balance would be scheduled for payment at later agreed date. Payments not received on the date scheduled will be charged a $50 late fee (per day) up to five days; After five days the reservation will be cancelled and removed from the booking calendar.

All bookings/reservations within 90 days require Full Payment.

Guest-Initiated Cancellations

Guests who need to cancel their reservations within 45 days will have the option to reschedule to another date within the next 60 days at Manager's approval. All bookings that are cancelled outside of 45 days may be eligible for a refund, but does not include deposit if applicable.

Shotclock Studios Excused Cancellations

In rare instances, it may be necessary to cancel a confirmed Booking due to extenuating circumstances under short notice for one of the situations identified below (“Excused Cancellation”):

1) Unexpected death or serious illness of the Guest, or immediate family member;

2) Serious injury that directly restricts a Host’s ability to travel or ShotClock’s ability to provide the Booked Space;

3) Significant natural disasters or severe weather incidents triggering a state of emergency that directly impact use of a Space or the Guest's ability to travel to the Space;

4) Urgent travel restrictions or severe security advisories issued after the time of Booking, by an appropriate government office or agency;

5) Severe property damage or unforeseen maintenance issues that directly impact the safe use of the Space; or

6) Legal, municipality, or utility injunction or order that directly restricts use of or access to a Space.

All Bookings cancelled due to the aforementioned extenuating circumstances will be given the opportunity to reschedule for a later date at no additional charge. Cash refunds will not be given for these Excused Cancellations, but we will be happy to re-book you at a later date and apply 100% the paid Booking Fees towards a future booking. To cancel a Booking you must submit a request to cancel to shotclockstudios@gmail.com. Cancellation requests cannot be submitted through texts or phone calls. Submitted cancellation requests may be delayed up to 48 hours to allow either party to reconfirm, reschedule, or finalize the cancellation. After such period, the cancellation will be finalized.
